What Is an Employee ID Number? Where to Find It on Your Payslip and ID Card
An employee ID number identifies you inside your company. Learn where to find it on your payslip, ID card and HR portal, and how it differs from your UAN, PAN and ESIC number.
What is an employee ID number?
An employee ID number (also called an employee code, staff ID or emp ID) is a unique number your employer gives you when you join. It identifies you in the company's HR, payroll, attendance and access control systems, so records stay accurate even when two people share the same name.
It is set by your employer, not the government, so its format varies from company to company. It might be purely numeric (104582), include letters (EMP-2041) or encode details such as your joining year or location.
Where to find your employee ID number
On your payslip
Most payslips show the employee ID in the header next to your name, designation and department, labelled "Employee ID", "Emp Code" or "Staff No." In the US the equivalent document is a pay stub or check stub, and the employee ID usually appears in the same top section.
On your employee ID card
Your company ID card usually prints the number under your photo and name, often with a barcode or QR code that encodes it. On RFID and smart ID cards, the same number is also stored on the chip, so a tap at the door or attendance terminal identifies you.
Other places to check
- Your offer letter or appointment letter
- The HR or payroll portal, under your profile
- Attendance or leave management apps
- Emails from HR or payroll about salary, Form 16 or benefits
If you still can't find it, your HR or payroll team can confirm it.
Employee ID vs UAN, PAN, ESIC and EIN
Your payslip lists several numbers that look similar but serve different purposes:
| Component | Specification |
|---|---|
| Employee ID | Issued by your employer. Identifies you inside the company. Changes if you switch jobs |
| UAN | Universal Account Number from EPFO. A 12-digit number for your provident fund that stays with you across jobs |
| PAN | Permanent Account Number from the Income Tax Department, used for tax and TDS on salary |
| ESIC IP number | Insurance number for employees covered under the ESI scheme |
| EIN (US) | Employer Identification Number: the company's US tax ID, not the employee's |
Why employee IDs matter
- Payroll: links salary, deductions and reimbursements to the right person
- Attendance: ties biometric or card punches to your record
- Access control: decides which doors, floors and systems your ID card opens
- Security: helps verify identity when you request HR, IT or payroll changes
Treat your employee ID as moderately sensitive. On its own it can't do much harm, but combined with your name and date of birth it can be used for phishing or social engineering, so avoid sharing it publicly.
For employers: putting employee IDs to work
A good employee ID card does more than show a number. Printing the ID as a barcode or QR code, or encoding it on an RFID or NFC chip, lets the same card handle attendance, door access, canteen payments and visitor management.
Smart Chip Tree supplies RFID and smart ID cards, ID card printers such as the HID Fargo range, and access control systems that read them. We also print employee ID cards for organisations across India.
